What the club holds
The California Alpine Club keeps the details you give it: your name, email address, postal address, phone number if you provide one, the outings you sign up for, and your membership and dues history. If you add an emergency contact, the club holds that too, and shows it to the leader of an outing you are on.
What it is used for
Running the club. Sending you the messages you have asked for, telling a leader who is on their trip, keeping the membership roll, and taking dues. Nothing else.
What other members can see
Members can see your name and the outings you are on. They cannot see your phone number or your street address. Officers and outing leaders see more, and only what their role needs: a leader sees the roster and emergency contacts for their own outing.
Email and text messages
Every kind of message the club sends has its own switch on your profile, and you can turn any of them off there. Renewal notices and safety notices for an outing you have signed up for are the exceptions, and they say so on the page.
If you turn on text messages, this is what you are agreeing to: “The California Alpine Club will text this number. Message frequency varies; most members get a few texts a year and only about outings they signed up for. Message and data rates may apply. Reply STOP to any text to stop them all, or HELP for contact information. Consent is not required to join the club or to sign up for anything, and the club never sells or shares your number. See the club's privacy page for what it does with your details.”
Replying STOP to any text stops all of them. The club records when you gave permission and the exact wording you were shown.
What the club never does
The club does not sell your details, does not share them for anyone else’s marketing, and does not hand your phone number or address to other members. Your information goes to the services that run the club (its email sender, its payment processor, its hosting), and to nobody else.
Asking for your information, or its removal
Write to the club and ask. The club will tell you what it holds, correct anything wrong, and remove what it is not required to keep. Some records, such as dues paid, are kept for the club’s own accounts.
If you reply to a text from the club, the club keeps that reply: the message, the number it came from, and when it arrived. Replies are kept for as long as the club keeps its other message records. Nobody at the club texts back; STOP and START are acted on automatically, and anything else is recorded so that a member who wrote in is not simply lost.
